Privacy policy

What we collect through the KhuselaGuard website, why, who sees it, how long we keep it, and your rights under the Protection of Personal Information Act (POPIA).

In short

  • We collect what you type into our forms, and what you send us on WhatsApp, by phone or by email. Nothing else.

1. Who we are

KhuselaGuard is a product of Cybernetics Engineering & Designs ("CED", "we", "us"), an engineering company in Gqeberha, South Africa. CED is the responsible party for the personal information described here: we decide why and how it is used, and we answer for it.

2. Information Officer

Our Information Officer is reachable at the email address above. Please mark anything about personal information for the Information Officer's attention.

3. What we collect

When you ask for KhuselaGuard through our form, we collect your name, WhatsApp number, area or town, approximate herd size and the type of animals you farm. The last three are optional.

When you fill in the form for associations, we collect the organisation's name, the contact person's name and role, a WhatsApp or phone number, an email address (optional), the approximate number of member farmers, the area, and any message you add. If you give us someone else's details, please make sure they are happy for you to do so.

With each form we record that you agreed to be contacted, when you agreed, and which version of this policy applied.

If you contact us on WhatsApp, by phone or by email, we receive your number or address and what you send us.

Technical information. We do not store your IP address with your details. To stop floods of automated form posts, the website keeps a scrambled, unreadable fingerprint of the sender's address in memory for up to an hour; it is never written to disk. Our hosting and security providers keep short-term technical logs (such as IP address, browser type and pages requested) to run and protect the website.

What we don't collect. We don't ask for identity numbers, bank or card details, or the location of your farm beyond the area or town you choose to give. We don't collect special personal information (such as health, religion or race), and we don't buy information about you from anyone else.

4. Why we use it

  • To contact you about KhuselaGuard: getting it for your herd, pricing and group orders.
  • To reply to your questions and enquiries.
  • To plan group orders and supply.
  • To keep the website secure and working.

We use your information only for these purposes. We do not sell it, and we do not make automated decisions about you.

5. Our lawful basis

We rely on your consent, which you give by ticking the box on our forms (POPIA section 11(1)(a)). The box is never ticked for you. For website security and technical logs we rely on our legitimate interest in protecting the site (section 11(1)(f)).

You can withdraw your consent at any time by WhatsApp or email. Withdrawing consent does not affect anything we did before you withdrew it.

6. Messages from us

We only contact you about KhuselaGuard if you have agreed to it (POPIA section 69). Every message will tell you how to stop further messages, and you can ask us to stop at any time by replying on WhatsApp or emailing us. It costs you nothing to opt out.

7. Who we share it with

We use trusted service providers ("operators") who process information on our behalf, under our instructions and under agreements that require them to keep it secure:

  • Render: hosts the website and the database where form submissions are stored.
  • Cloudflare: delivers and protects the website, runs the spam check on our forms (Turnstile), and, if enabled, provides cookieless visitor statistics (Web Analytics).
  • Zoho Mail: our email provider, used to notify our team of new enquiries and to reply to you.
  • WhatsApp (Meta): if you choose to message us on WhatsApp, WhatsApp's own terms and privacy policy apply to that conversation.

We do not share your information with anyone else unless the law requires it, for example a court order.

8. Information sent outside South Africa

Some of these providers store or process information outside South Africa. We only use providers that are bound by agreements or laws that give protection comparable to POPIA, as section 72 of POPIA requires.

9. How long we keep it

We keep your information only for as long as we need it for the purposes above, and then delete it. You can ask us to delete it sooner.

10. How we protect it

  • The site is served over HTTPS only, so what you send us is encrypted on the way.
  • Form submissions are stored in a database that only authorised CED staff can reach, behind a password, and repeated wrong passwords lock the door.
  • Our forms are protected against automated abuse, and the site accepts nothing from other websites on your behalf.
  • We limit who in our team can see your details.

If your information is ever accessed by someone who should not have it, we will tell you and the Information Regulator as soon as reasonably possible, as section 22 of POPIA requires.

11. Your rights

Under POPIA you have the right to:

  • ask whether we hold personal information about you, and for a copy of it;
  • ask us to correct or delete it;
  • object to us using it, and withdraw your consent;
  • stop messages about KhuselaGuard at any time;
  • not be subject to decisions made by a computer alone (we make none);
  • complain to the Information Regulator.

To use these rights, email support@cyberneticsdesigns.co.za or WhatsApp us on 061 114 5710. A plain message is enough. We may need to confirm who you are first, and we will answer within a reasonable time.

12. Cookies

The website sets no cookies of its own and uses no advertising or tracking cookies. The few essential ones set by our security provider are listed in our cookie policy.

13. Children

This website is meant for farmers and organisations. We do not knowingly collect information from anyone under 18. If you believe a child has sent us their details, tell us and we will delete them.

14. Complaints

If you're unhappy with how we handle your information, please tell us first so we can put it right. You can also complain to the Information Regulator (South Africa):

15. Changes to this policy

We may update this policy. The date at the top shows when it last changed. If a change affects how we use information you've already given us, we'll tell you.
